TeamTracs Privacy Policy
In plain language
- TeamTracs helps running teams share official results, calendars, RSVPs, volunteer sign-ups, and team news.
- Accounts are for adults, including athletes, parents and guardians, coaches, and team administrators. Athletes under 18 do not have accounts.
- We collect only what a team needs to work: your account details, the team information you and your team enter, and basic technical data.
- Your team decides who can see it. Private teams are visible only to their members.
- We do not sell personal information, and TeamTracs contains no advertising.
- You can turn off notifications at any time and delete your account yourself in Settings.
Who we are
TeamTracs (the website at teamtracs.com and the TeamTracs apps for iPhone and Android) is operated by TeamTracs ("we", "us"). If you have any question about this policy or your information, contact us at support@teamtracs.com.
Information we collect
Account information
Your email address, display name, and a password (stored only as a one-way hash, never in readable form), your role on each team (member, coach, or team administrator), and the dates you signed in or changed your password.
Team and athlete information
Teams and their administrators enter or import rosters (athlete names, age group, and similar roster details), meet results, records, awards, and calendar events. Official results come from public meet postings or files that a coach confirms are official and may be shared. We retain the submitted result documents and their revisions to preserve the source of imported results. Team members can connect ("follow") athletes so they can answer RSVPs and see their results.
Things you do in TeamTracs
RSVP responses and notes, volunteer sign-ups, Team News posts, comments, likes, reports, and blocks, requests to join a team, and invitations you send or accept.
Private messages
We store message text, conversation participants, timestamps, your read position, and messaging preferences, blocks, and reports. Messaging is for adult account holders who share a team; roster-only athletes are not contacts. Group members can see the other participants. Messages are not end-to-end encrypted.
Device and notification information
If you allow notifications in the app, we store a device push token (a random identifier issued by Apple or Google for your device), your device type, the app version, and your notification choices. We also keep an inbox of the notifications sent to you.
Technical information
Our servers record ordinary technical information such as IP address, browser or device type, pages requested, and security events (for example, repeated failed sign-ins). A session cookie keeps you signed in. We use Google Analytics to understand how the site and apps are used (see "Cookies and analytics").
Athletes and minors
Only adults 18 or older may create accounts. We do not knowingly create accounts for anyone under 18, including athletes under 13. Athlete information (such as name, age group, team, and race results) is entered by team staff or taken from official public meet results so that members and coaches can follow the season. Team administrators are responsible for what they enter about their team.
An athlete, or a parent or guardian acting for a minor athlete, can ask the team's administrator or contact us at support@teamtracs.com to correct or remove athlete information, and we will help.
How we use information
- To provide TeamTracs: sign you in, show results, calendars, and team news, and let teams manage rosters, events, and volunteers.
- To send messages you need: account verification, password recovery, event confirmations, and notifications you allow.
- To keep TeamTracs safe: prevent abuse, review reports, enforce our community guidelines, and investigate problems.
- To improve TeamTracs using aggregate usage information.
We do not use your information for advertising and we do not build advertising profiles.
Who can see your information
Shared official results. Coaches and team administrators can discover official meets submitted to the shared results catalog and review a selected team label’s official race results before importing. This does not share a team’s private roster, corrections, family connections, or import decisions. Uploaders must confirm that the submitted results may be shared; private roster details and contact information do not belong in these uploads.
Your team. Members of a team can see what that team shares with them. Team administrators and coaches can see the team's roster, RSVPs, volunteer sign-ups, and membership details. Team News is visible only to that team's members. All team pages, including athlete profiles and results, require an active team membership. Team administrators cannot make team pages public.
Private conversations. Only conversation participants can browse their messages. Team roles do not grant access. If you report a message, authorized TeamTracs support administrators can review that message and your note; they do not receive the rest of the conversation. Blocking prevents direct contact and future message delivery between those accounts in groups. Previous messages from blocked contacts are hidden. Other group members can continue to communicate.
Service providers. We use trusted companies to run TeamTracs, and they may process data only for that purpose: web hosting (Hostinger), transactional email delivery (Resend), push notification delivery (Apple Push Notification service and Google Firebase Cloud Messaging), and analytics (Google Analytics).
Legal and safety. We may disclose information if required by law, or to protect the safety of our users or the service.
No sale. TeamTracs does not sell personal information.
Push notifications
Notifications are optional. They tell you about things such as a new team event, an event change or cancellation, a new Team News post, or new results. Notification text is kept generic: it never contains an athlete's name, a result, or a team's private join code. You can choose which types you receive in Settings → Push notifications, or turn notifications off in your phone's system settings. Signing out or deleting your account removes your device token.
Cookies and analytics
We use a strictly necessary session cookie to keep you signed in and to protect forms. We use Google Analytics 4 to measure aggregate usage of the site and the apps (which load the same pages). We configure it to anonymize IP addresses and to turn off Google signals and ad personalization, we do not send names or emails as analytics data, and we do not run analytics on administrator or private-message pages. You can block analytics with your browser's privacy settings or an extension; TeamTracs will still work.
Keeping and deleting information
We keep account and team information while your account or team is active. You can delete your account yourself in Settings → Delete account (see how to delete your account). Deleting your account is permanent. It removes your sign-in details, device tokens, notification inbox and choices, volunteer sign-ups, and links to athletes, replaces your name and email with anonymous placeholders, and replaces your Team News posts and comments with "[removed]". Team records that belong to the team (such as official race results and roster entries) stay with the team. If you are the last administrator of a team, you must transfer or shut down the team first.
Private-message history remains available to its recipients after a member leaves a team. Leaving a group stops future delivery; archiving only hides the conversation from your list. Account deletion removes your authored message text and report notes, messaging preferences and blocks, and replaces your profile with a deleted-account label. Reported message text is also cleared when its author deletes their account; we do not keep a separate evidence copy.
Copies may remain in protected backups until they are rotated out, and security and audit records may be kept in reduced form as needed to protect the service. To ask us to remove information we cannot remove through Settings, contact support@teamtracs.com.
Your choices and rights
You can update your name, password, and notification choices in the app and website, leave a team, and delete your account. Depending on where you live, you may also have the right to ask what personal information we hold about you, to correct or delete it, or to object to certain uses. Contact support@teamtracs.com and we will respond within a reasonable time, in line with applicable law.
Security
We protect information with encrypted connections (HTTPS), hashed passwords, access controls that keep each team's data separate, protection against cross-site request forgery, and regular backups. No system is perfectly secure, so please use a strong, unique password and sign out on shared devices.
Where information is processed
TeamTracs is based in the United States. Our service providers (including Apple, Google, Hostinger, and Resend) may process information in the United States and in other countries under their own security and privacy commitments.
Changes to this policy
We may update this policy as TeamTracs changes. We will post the new version here with a new effective date, and we will give notice of significant changes on the site or in the app.
